How Datastruct replaced manual checks with reliable entity intelligence
Manual Secretary of State (SOS) research was slowing teams down, creating data gaps, and increasing compliance risk. Relying on manual, state-by-state desktop research and ad hoc tracking was time-consuming, inconsistent, and difficult to scale, leading to outdated information and operational inefficiencies. This was why it was critical to automate access to accurate, real-time entity information as the business scaled and recovery volumes grew.
Ajith Naik, Operations Manager - Vendor Partnerships
The primary objective was to eliminate the inefficiency, risk, and inconsistency caused by manual SOS research in ongoing account management and recovery workflows. Specifically, the lender was trying to:
- Reduce time-intensive manual desktop research required to track borrower entity status, ownership, and registration details across multiple states.
- Improve visibility and accuracy of borrower entity information, which was often outdated or incomplete when gathered manually.
- Enable faster, better-informed decisions around outreach, escalation, and recovery when accounts became delinquent.
- Maintain compliance and reduce legal risk by ensuring recovery and legal actions were based on current, authoritative entity data.
In short, the goal was to replace fragmented, manual SOS checks with a scalable, automated, and reliable source of entity intelligence that could support financial, legal, and operations teams more effectively.
The technical implementation involved an amalgamation of teams – integration engineers, client solution architects, data analysts, QA and support. In short, the Datastruct platform builds a wrapper over the OpenCorporates API and configures it within a waterfall logic often comprising other 3rd party data products required to serve the client’s business use case.
Automated, real-time SOS data updates on entity status, ownership, registered agents, address changes, and dissolution events, all integrated directly into existing account management and recovery workflows.
Quantifiable improvements included:
- Significant reduction in manual research time across finance, legal, and operations teams
- Faster escalation and recovery actions due to real-time entity updates
- Improved efficiency and effectiveness of legal and collections operations over a two-year period
Other benefits and outcomes:
- Better decision-making with accurate, up-to-date entity intelligence
- Improved collaboration across finance, legal, and operations teams
- Greater confidence in compliance-aligned outreach and recovery actions
Benefits were realized soon after implementation, with sustained improvements in efficiency, decision-making, and recovery outcomes over the following two years.
Another unexpected win was the improved proactive risk identification and earlier intervention on at-risk accounts, driven by visibility into entity changes that teams were not previously monitoring consistently.
On the clients side, account management and recovery shifted from manual, reactive processes to automated, proactive, and compliance-aligned workflows, improving efficiency, decision quality, and collections effectiveness
